We are currently seeking a full-time, on-site Travel & Expense Coordinator to join our corporate office in Tampa, FL.

In this role, you will be responsible for managing travel and expense activities for our Management and Operations teams, as well as our clinical staff, including Nurse Practitioners, Exercise Physiologists, Ultrasound Technicians, and Phlebotomists. The ideal candidate is highly organized, detail-oriented, responsive, and comfortable managing multiple priorities in a fast-paced environment.

Key Responsibilities
  • Manage all aspects of company travel, including coordinating and booking flights, hotels, ground transportation, and other accommodations.
  • Coordinate travel arrangements for management, operations, and clinical staff across multiple locations.
  • Manage relationships with travel vendors and serve as the primary liaison with hotels, airlines, rental car companies, and other travel providers.
  • Resolve travel and booking issues efficiently while identifying opportunities to optimize corporate rates and travel arrangements.
  • Maintain and update company travel and expense reimbursement policies.
  • Communicate travel and expense policies to employees and help ensure compliance.
  • Review and audit employee expense reports, receipts, and supporting documentation for accuracy and adherence to company policies.
  • Serve as the primary point of contact for employees regarding travel-related questions, changes, and issues.
  • Maintain accurate travel and expense records and provide administrative support related to travel and expense activities.
  • Identify opportunities to improve travel processes, efficiency, and the overall employee travel experience.
Desired Skills & Qualifications
  • Strong computer skills, including proficiency with Microsoft Office.
  • Previous experience in travel coordination or the travel industry is a plus but not required.
  • Exceptional attention to detail and accuracy.
  • Strong organizational, time-management, and prioritization skills.
  • Excellent written and verbal communication and interpersonal skills.
  • Previous administrative, operations, or coordination experience highly desired.
  • Ability to manage multiple priorities, meet deadlines, and work effectively in a fast-paced environment.
  • Strong problem-solving skills and a customer-service-oriented approach.
